Guidelines for Poster Presentation
The DOST-Science Education Institute, in collaboration with the ASTHRDP-National Science Consortium will be holding the 14th ASTHRDP Graduate Scholars’ Conference on 17-18 September 2026 at the Grand Xing Imperial Hotel, Iloilo City, Western Visayas with the theme “Science and Technology that works for the people”.
This guideline is intended for the official poster presenters.
I. General Provisions
- Eligibility: All ongoing (AY 2025-2026) ASTHRDP scholars in their thesis/dissertation stage with at least completed 80% results, and graduates of AY 2024-2025 and AY 2025-2026, who have not yet presented their theses/dissertations in the past Graduate Scholars’ Conferences, are eligible to submit their papers for presentation during the 2026 Conference.
- Categories: Poster Presentations are grouped according to categories.
a. Category 1. Agricultural and Environmental Sciences (Agriculture, Forestry, Crop Science, Animal Science, Agricultural Science and Fisheries, Natural Resources Management, Environmental Science, Climate Science, Ecology, and Marine Science)
b. Category 2. Biological & Health Sciences (Biology, Biotechnology, Health, and Pharmaceutical Sciences)
c. Category 3. Physical Sciences (Chemical, Earth and Atmospheric, Space, Material Science, Nanotech, Pure and Applied Physics)
d. Category 4. Mathematical & Computational Sciences (Information Technology, Computer Science, Communication, Statistics, Pure and Applied Mathematics)
II. Poster Template
- Size and Layout: Students will pay for the printing for their own posters. The whole poster should be presented in 1.3 m (height) by 0.7 m (width), 300 ppi, and must be in .png and .pdf format. The layout should be in portrait orientation. In the printing of the posters, no need to place eyelets at the sides of the poster.
- Title, Author, and Affiliation: Use letters equivalent to 72 points (about 2cm) for the main title and 40 points (less than 1cm) for the subtitle and author/s. The title and author/s should be the same as in the submitted abstract. Indicate the author/s’ affiliation. You may opt to place a logo of your affiliation.
- Text Fonts: Use “sans serif font” (i.e. Helvetica, Lato, and Arial) that are at least 20 points (about 6mm high). Do not use fancy lettering or fonts. Use upper- and lower-case standard letters.
- Text Colors and Backgrounds: Dark letters on a light or plain background are recommended. Do not use too many colors. Use a combination of closely related colors.
- Illustrations: Pictures and graphs should be clear and in considerable sizes. Captions and labels on diagrams should be readable and not cluttered with unnecessary detail.
- Organization: Be sure that your presentation can be easily followed sequentially from one part to the next. Use numbers or arrows to better direct the reader from item to item in the correct order, left to right, top to bottom. Do not clutter with so much text or artwork.
III. Poster Contents
- Introduction: Make this brief. This should include the objectives of your study and its significance.
- Methods: Give only important details; flow charts would be advisable but should be easy to follow.
- Results: Minimize the texts. Use graphs, pictures, and tables.
- Discussion: This part should include an analysis and implications of your results. You may include if applicable the directions and next steps to take as a follow-up to the findings of the study.
- References: The references should be available to your readers for them to check or view the literature and the context of your work. You may use a smaller font size for your references.
- Acknowledgment: You may write a short acknowledgment section that may include the funding source and those who made significant contributions to your study.
IV. Submission
- File Format: Use the following format in naming your files, “Poster No. _First-Letter-of-Your Given-Name-Surname”. Example: 1_JDelaCruz.
Your poster number assignment is indicated in your acceptance letter.
2. Submission:
a. Soft Copy: Upload both the PNG and PDF versions of your poster not later than 5 September 2026 to the Submission Portal. Failure to submit the poster on the aforementioned date may result in not being included in the competition. The judges will conduct a pre-judging process before the conference.
b. Hard Copy: You must post the printed copy of your posters on16 September 2026, at 1:00 – 5:30PM on your assigned poster board in the foyer of the Plenary Hall at the Conference Venue, Iloilo City.
3. Posting of Posters:
a. Soft Copy: The soft copies of the poster presentations will be posted on a dedicated website. The link will be shared with the participants for viewing on or before September 17, 2026.
The Conference Secretariat Team will post the soft copies of your posters on the website.
b. Hard Copy: The posters will be attached to the poster boards using a putty/blu tack. All the poster presenters are advised to bring their own putties. No thumbtacks or any kind of pins and double-sided tapes shall be used.
V. Poster Presentation
- Time: The poster presentation will be conducted face-to-face. During the poster viewing, judges and the public may inquire about your posters. Prepare a 1 to 2-minute comprehensive oral report of your work
- Presentation Etiquette: You are expected to wear smart casual/ business casual attire during your poster presentation.
- Presenter on Standby: All poster presenters must be on the right side of their posters on 17 September 2026 during the Ribbon Cutting and Opening of the Poster Exhibit from 9:20 AM – 10:00 AM, and during the Poster Sessions from 5:00 PM to 6:00 PM, and 18 September 2026 from 11:00 AM to 12:00 NN. This gives you the opportunity to elaborate on your research.
VI. Failure to Attend
- Non-attendance: Once the scholars qualify for the poster presentation and confirm their attendance at the conference, they will be expected to attend the two-day conference since DOST-SEI has allotted a budget for all confirmed participants that includes the venue rental, food, poster boards, conference collaterals, and other conference collaterals. Non-attendance shall be subject to a refund of the abovementioned expenses.
