General Information
Time
All conference schedules will use the 12-hour clock format.
Onsite Registration
Onsite attendance registration will take place on 17 September 2026 (Thursday) and 18 September 2026 (Friday), from 7:00 AM to 8:00 AM at the lobby in front of the Plenary Hall.
Release of Conference Kits
There will be Pre-Registration on Day 0 (16 September 2026, Wednesday) when participants may claim their conference kits. Distribution will be coordinated by the project staff of each respective member-universities at the Registration Area.
Wearing of conference ID/Badge
Participants are required to always wear their conference IDs/badges within the venue, as this will serve as access passes to all sessions, meals, and breaks.
Secretariat Area
The Secretariat Room is located in the Board Room, adjacent to the Plenary Hall of the Iloilo Grand Xing Imperial Hotel.
Conference Committee Members
Committee members may be identified through their official (color) IDs/badges. Participants are encouraged to approach them for any assistance or inquiries.
Submission of Presentations
Oral presentation files must be submitted to portal on or before 02 September 2026. Early submission is highly encouraged. Please note that no presentations will be accepted on the day of the conference.
Poster Mounting and Dismounting
Participants should proceed to the Poster Information Desk at the Plenary Hall foyer on 16 September 2026 to register their posters (starting at 8am -5pm) and know their board assignments. Presenters are responsible for mounting and dismounting their own posters. Poster mounting is scheduled from 1:00 PM to 5:30 PM on the same day. All mounting materials must be provided by the presenters (masking/paper tape only). Posters will remain on display throughout the conference and must be dismounted only after the closing program on 18 September 2026. Unclaimed posters will be discarded without guarantee of retrieval.
Certificates
a. Certificate of Participation
- Issued to attendees who presented a paper or poster.
- Claiming of certificates requires presentation of the conference ID/badge.
- Certificates may be claimed with your respective University Project Staff.
b. Certificate of Appreciation
- Awarded to NSC Consortium Universities.
- Certificates will be distributed during the awarding ceremony.
c. Certificate of Recognition
- Issued to oral and poster presenter winners.
d. Certificate of Appearance
- Issued to Philippine government employees.

Photo Booth
A photo booth will be provided, and certain photos, with consent, may be posted on the official Facebook page of the 14th ASTHRDP Graduate Scholars’ Conference. By participating, attendees agree that their photos may be used for this purpose.
Smoking Policy
Smoking is strictly prohibited within the venue and across Iloilo City, except in designated smoking areas such as airports.
Mobile Device Etiquette
Participants are requested to set their mobile phones to silent, mute, or vibrate mode during all sessions.
Dietary Requirements
Submitted dietary restrictions have been considered in the meal planning to accommodate allergies and other special dietary needs.
Photography and Recording
Photos and videos may be taken during the event. Participants who do not wish to be photographed should inform the Registration Desk during registration or kit claiming so their ID can be appropriately marked.
Travel Information (By Air)
Flights to Iloilo City take approximately 1 hour from Manila and about 30 minutes from Cebu.
Airport to City Transfer
The Iloilo International Airport is around 30 minutes from the city proper. Transportation options include taxis, UV Express vans, and public transport. Taxi fares range from ₱500–₱600, while UV Express vans cost ₱100–₱200 (up to SM City Iloilo). Transport services are available outside the arrivals area.
Going Around Iloilo City
Public transportation includes jeepneys, mini-buses, and metered taxis along fixed routes. Taxi flag-down rate is ₱50 with approximately ₱13.50 per kilometer. Jeepney minimum fare is ₱14, while mini-bus fare starts at ₱16.
Dress Code
Participants are encouraged to wear Filipiniana during the 1st day on 17 September 2026 and smart business casual on the 2nd day 18 September 2026.
Attendance and Punctuality
The organizers extend their appreciation for participants’ attendance and encourage punctuality in all sessions.
Venues
Plenary sessions will be held at the Jade Ballroom (Plenary/Main Hall). Parallel oral sessions will take place at designated function rooms while poster exhibits will be at the foyer of the Plenary Hall.
