GUIDELINES

I. Application

1. Eligibility:

Ongoing (AY 2025-2026) ASTHRDP scholars in their thesis or dissertation stage with at least 80% results, as well as graduates of      AY 2024-2025 and AY 2025-2026 who have not yet presented their theses or dissertations in the past Graduate Scholars’ Conference are eligible to submit their abstracts. 

2. Categories:

The research topic must fall into one of the categories listed below:

1	Agricultural & Environmental Sciences	Agriculture, Forestry, Crop Science, Animal Science, Agricultural Science and Fisheries, Natural Resources Management, Environmental Science, Climate Science, Ecology and Marine Science
2	Biological & Health Sciences	Biology, Biotechnology, Health and Pharmaceutical Sciences
3	Physical Sciences	Chemical, Earth and Atmospheric, Space, Material Science, Nanotech, Pure and Applied Physics
4	Mathematical and Computational Sciences	Information Technology, Computer Science, Pure and Applied Mathematics

For interdisciplinary papers, the scholar may indicate the category that is closest to his/her research. The final category shall be assigned by the Committee on Papers. 

3. Format and Word Count:

The research abstract must follow the [template] and have a maximum of 250-word count. 

4. Endorsement: 

Abstract submissions must be endorsed by the respective ASTHRDP Project Leader and Thesis/Dissertation Adviser.

5. Submission: 

Scholars should submit their abstracts in Word format based on the [template] provided (with copyable digital text) through the [Submission Portal]. This is to ensure the abstract text will be copyable for posting in the website and the souvenir program. The file name format should be followed: 

LastName, Firstname_ResearchTitle.docx

Important Note: Scholars should also submit scanned copies of their abstracts in PDF format signed by their respective Thesis/Dissertation Adviser and ASTHRDP Project Leader. 

6. Schedule:

The call for abstracts starts on June 30, 2026 and ends on July 30, 2026 at 11:59 PM. Late submissions will not be accepted. 

II. ACCEPTANCE AND CONFIRMATION

1. Notice of Acceptance:

The scholars will be notified of their type of presentation (Oral or Poster) after the abstracts are evaluated by the Screening Committee. 

2. Confirmation of Participation: 

Scholars must confirm their participation in the conference within five (5) days of receipt of the Notice of Acceptance. Once confirmed, the scholar MUST attend the conference. 

Failure to do so shall mean that scholar has to refund the cost of his/her participation (food, transportation fare (if applicable), collaterals, poster board rental, etc.).
